Map Your Dubsado Client Journey Like a Five-Star Hotel Stay

In hotels, the guest experience is mapped long before anyone walks through the door. The confirmation email, the pre-arrival note, the key that's ready at check-in: none of it is luck. Someone planned every step.

After 16+ years in hotel operations, I map client journeys the same way. Here's the map.

1. The reservation (inquiry)

A potential client fills out your contact form. Automate: an instant, warm reply so they know a real person got it, plus a lead card in Dubsado so nothing slips.

2. Pre-arrival (the consult)

Automate: a scheduler link and two reminder emails, the day before and the hour before. Hotels confirm your stay; you confirm your call.

3. Check-in (booking)

They said yes! Automate: proposal, contract and first invoice as one smooth package, so booking with you takes minutes, not a week of back-and-forth.

4. The stay (onboarding and the work itself)

Automate: a welcome guide and questionnaire the moment the contract is signed, then project reminders along the way. This is where clients decide whether you're a "one visit" or a "we're coming back every year."

5. Checkout (offboarding)

Automate: a thank-you, final files, and a review request a few days later. Every good hotel asks how your stay was. You should too.

The concierge touch

Automation handles the routine so you can handle the personal. Leave room for a handwritten note, a quick voice message or a "saw this and thought of you." That's what guests remember.

Map it before you build it

Grab paper, draw your five stages, and list what happens at each. Then open Dubsado. Building from a map is so much faster than building from a blank screen.
